The Support Services Coordinator role will be responsible for performing activities to ensure Unit office opened and staffed to serve the customer in their respective communities as well as perform activities to support a portfolio of Community events and accounts. This Staff will provide support services to his/her assigned manager. Responsibilities include but are not limited to mail management, general office operations, office volunteer management, donation/income processing, general event support, event materials - product support, documents management, data entry, standard reporting, and guidance to a team of office - support staff.

MAJOR RESPONSIBILITIES

  • Office Support: Provide office supply management, to include ordering, inventory, receiving orders, and expenses
  • Provide general office operation support, coordinate office space utilization (i.e., workstation / offices) and equipment (phones/PC's), manage off site / internal storage facilities, maintain and manage inventory of fixed assets (e.g., copiers, postage meters, laptops, wireless cards, LCD players, walkie-talkies, credit card machines, etc.).
  • Process payment for event and accounts related expenses and invoices, point of contact for AV equipment, conference rooms, office meetings and trainings (beverages, food, room preparation, supplies).
  • Oversee office volunteer management, help recruit, direct, maintain data, and support recognition efforts.
  • Oversee mail management, coordinate receipt and distribution of letters, packages, correspondence, sort mail, process all office bulk mailings, and maintain postage due accounts and postage in meters Process Concur, Marketplace for office related expenses and invoices, point of contact for AV equipment, conference rooms, office meetings and trainings (beverages, food, room preparation, supplies).
  • Oversee reception and front desk duties, receive incoming calls, provide assistance to callers; greet visitors and provide assistance, ensure office is covered during open hours, assist walk-in and virtual patients with mission needs including all programs and services.
  • Provide Salesforce service request support, handle and manage as assigned, reassign to the appropriate staff person as required. Keeps appropriate and organized files and records and prepare reports as required.
  • Maintains material display areas in local offices as dictated by the published Materials Display Recommendations.
  • Manages supervisor's daily and long-term schedule (set appointments, schedule interviews, etc.).
  • Provides timely and accurate data entries, reports, documents, correspondence, secures necessary signatures as required and file maintenance.
  • Receives and screens incoming correspondence, reports and phone calls
  • Direct responsibility for providing the administrative support necessary to achieve organizational goals and objectives.
  • Manages multiple projects as assigned by supervisor. Event/Accounts Support: Create event/account related materials including but not limited to invitations, RSVP's brochures, posters, letters, programs, certificates, and name tags.
  • Provide event/account material support; ensuring appropriate accounting; order event related supplies (awards, brochures, apparel, invitations, promotional products, luminaria, incentive prizes. team captain packets and sponsor packets).
  • Prepare event/accounts correspondence and mailings, meeting invitations; manage RSVPs; maintain contact lists..
  • Provide general event support: maintain locations, dates, and times for events with participant registration, insurance process (certificates of insurance), and event related inquires (phone, walk-ins and virtual), auction process (auction items coordination, volunteer training, payment, etc.)
  • Support data entry to include income, expenses, sponsorship, committees, sponsors, survivors, post event data etc. into Salesforce, QuickBooks, Online (webpage).
  • Maintain and update records of committees, sponsors, survivors, etc., ensure post event data was entered Salesforce accurately by deadline.
  • Provides day of event support as approved and within policy to include registration, check out, setup and take down of equipment (computers, printer, etc.) onsite donation processing.
  • Pulls reports to support events/accounts, review reports as needed, follow up on data quality or content concerns; compile and summarize data to meet specific event needs.
  • Manage specific data (i.e., registrations, donations, previous YTD information, lapsed participants, team leader reports, NetSuite, P2P, etc.).
  • Oversees all donation processing and cash management received in the office according to cash management handling procedures to include incomplete memorials, batch headers, bank deposits, event donations SBD incidents, income, or expense adjustments; act as point of contact for finance deposits, assist with inquiries related to income processing. (Cash and ATH Movil logs).
  • Create bank night kits: Batch forms, accounting packets, bank bags, and income processing materials, night deposit keys.
  • Act as point of contact for finance deposits, assist staff with inquires related to income processing, create, and maintain accounting bins/bank boxes for all income staff. Secure night deposit keys for event.


FORMAL KNOWLEDGE

  • Associate's degree preferred, or a combination of education and work experience. 0-3 years of office or event support experience.
  • OTHER SKILLS : Strong collaborative leadership, coaching and development skills of diverse staff.
  • Demonstrated issue resolution skills. Self-driven/self-motivated, able to work with very little direct supervision or direction.
  • Strong customer service focus. Excellent written and verbal communication and interpersonal skills.
  • Strong computer skills; strong word processing, database management and spreadsheet skills.
  • Able to work successfully in a diverse team environment. Ability to respond to changing circumstances and priorities in a focused and timely manner.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Able to cultivate relationships in a diverse population of community leaders and volunteers.
  • Excellent written and verbal communication and interpersonal skills. Strong computer skills; strong word processing, database management and spreadsheet skills.


SPECIAL MENTAL OR PHYSICAL DEMANDS
Limited travel, including evening and weekend work required. Ability to lift 30lbs.

The starting rate is $14.00 per hour. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
