The Video & Creative Ops Coordinator supports the end-to-end execution of video projects across Creative and Content, ensuring smooth logistics, clear communication, and timely delivery of all assets. This position serves as the connective tissue between creative, production, and post-production teams—helping to track timelines, maintain documentation, manage rights usage, and facilitate approvals. This role is ideal for a highly organized, detail-oriented team player with a passion for storytelling, content creation, and operational excellence.

ESSENTIAL FUNCTIONS:

  • Coordinates Video Project Logistics
    Schedules shoots, books talent, reserves equipment, and manages location logistics in collaboration with producers and creatives. Tracks all production deliverables and timelines.
  • Supports Production & Operations Workflows
    Helps organize footage, track edits, route cuts for feedback, and ensure timely delivery of final files. Coordinates with editors to maintain accurate version control.
  • Maintains Project Documentation
    Keeps records of project briefs, production schedules, talent release forms, legal documentation, and editorial changes. Maintains cloud-based project folders and archives.
  • Facilitates Team Communication & Collaboration
    Serves as the day-to-day liaison between internal teams, vendors, and freelancers. Helps prepare agendas for production meetings and ensures follow-up on key action items.
  • Supports Rights Management & Usage Tracking
    Manages rights usage, licensing, and clearances for all video assets including talent releases, music licensing, location agreements, archival footage, and third-party content. Ensures proper documentation and compliance for all platforms.
  • Supports Deployment and Management of the Storytelling Infrastructure
    Assists in the launch, organization, and maintenance of a centralized storytelling system used to catalog and manage video content, records, and usage rights. Identifies and implements ongoing improvements to support system adoption, usability, and long-term scalability.
  • Supports Creative Operations, Resource Management, and Budget Oversight

EXPERIENCE/QUALIFICATIONS:

  • Bachelor’s degree in film/media, communications, or a related field.
  • Minimum 1–2 years of experience in video production coordination, content operations, or project management within a media, nonprofit, or agency environment.

KNOWLEDGE, SKILLS, AND ABILITY:

  • Strong understanding of creative operations management and video production workflows, from pre-production to final delivery.
  • Familiarity with video formats, asset management, and post-production processes.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal and written communication skills.
  • Proficiency in project management tools (e.g., Asana, Airtable, Trello, Monday.com).
  • Experience using cloud storage platforms like Media Asset Management tools.
  • Basic knowledge of rights management, usage tracking, and content licensing best practices.
  • Ability to juggle multiple projects and pivot in a fast-paced environment.

TRAVEL REQUIREMENTS:

  • Some travel to shoots is expected.

PHYSICAL REQUIREMENTS:

  • Must be able to lift up to 25 pounds of equipment and assist with gear transport and setup.

The hourly rate for this position is $30-$35. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
