Program Coordinator, Roundtable Operations

The Program Coordinator, Governance and Operations provides essential operational and administrative support to ensure the smooth execution of Roundtable leadership nominations, membership management, governance processes, and program logistics. This role is central to maintaining accurate data systems, supporting volunteer engagement, and coordinating internal and external communications. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced, collaborative environment.

**This is a remote position**

ESSENTIAL FUNCTIONS:

  • Manage the quarterly ACS National Roundtable membership application and review process; including maintaining accurate and up-to-date membership records in Salesforce; scheduling and supporting Membership Committee meetings; collaborating with Strategic Directors to present membership recommendations to Steering Committee; and making membership announcements (25%)
  • Ensure compliance with internal policies and procedures related to volunteer engagement and governance. (15%)
  • Oversee the annual collection of leadership disclosures, rules of engagement, and other required policy documents. (15%)
  • Assist in planning and executing virtual and in-person events, including member convenings, committee meetings, and educational sessions. (15%)
  • Coordinate and support the annual and ad hoc leadership nominations process across multiple program areas; including, schedule and support Nominations Committee meetings; track leadership terms, application submissions, and nomination timelines; and serve as the primary liaison for leadership applicants and committee members. (15%)
  • Support the annual bylaws review process, including scheduling and documentation for leadership team meetings. (10%)
  • Provide general admin support to Strategic Directors and program teams, and coordinate logistics such as scheduling, registration, materials preparation, and follow-up communications. (5%)

EXPERIENCE/QUALIFICATIONS:

  • Minimum Degree Required: Bachelor's Degree
  • Preferred Degree: Bachelor's Degree
  • Years of experience:  1-3 years’ work experience is preferred

KNOWLEDGE, SKILLS, AND ABILITY:

  • Strong organizational skills and ability to manage multiple projects simultaneously. 
  • Experience working with project management software tools like Monday.com, Asana, etc is a plus. 
  • Experience in meeting planning, preparing meeting minutes, and preparing reports. 
  • Experience with coordinating and producing in-person and interactive online meetings using a variety of digital solutions including Zoom and MS Teams.  
  • Comfortable working with accomplished professionals and high-level volunteers. 

TRAVEL REQUIREMENTS:

  • Must be able to travel (10%). 

PHYSICAL REQUIREMENTS:

  • Work is normally performed in a typical interior/office work environment. 

The starting rate is $22 to $26/hourly. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
